1. Agreement – The Traveling Black Women Network

Welcome — these Terms & Conditions (“Terms”) explain the rules for using services offered by Grace Royal International, LLC, doing business as The Traveling Black Women Network (“we,” “us,” or “Company”). Our primary website is https://www.travelingblackwomen.com and our Services include the website, mobile applications, trips and tours, group travel, rentals, events, forums, newsletters, online store, podcasts, social communities, and any other product or service we provide under the Traveling Black Women brand (collectively, the “Services”).

By using the Services, booking with us, or paying any fees, you agree to these Terms. If you do not agree, do not use the Services.

You must be at least 18 years old to use or register for the Services.


2. Summary

  • Bookings for travel are generally non-refundable because your payments are used immediately to secure vendors (hotels, guides, transport).
  • If we cancel, you will receive a refund or credit. If a vendor later issues a refund to us, we will pass it on to you (less any non-recoverable fees).
  • We strongly recommend purchasing comprehensive travel insurance.
  • By paying you authorize us (or our payment processor) to charge your chosen payment method according to the payment plan you select.

3. Definitions — what “Services” may include

“Services” may include, without limitation:

  • Trip bookings and group travel (itineraries, accommodations, transportation, activities)
  • Short- and mid-term rentals (listings managed by or on behalf of the Company)
  • Digital products (guides, downloads, podcasts, courses)
  • Community features (forums, reviews, user profiles)
  • Events, workshops, and experiences
  • Marketing communications (email, SMS)

4. Bookings, deposits & payment plans

How bookings work

  • Bookings are confirmed only when we receive the required deposit and your booking has been accepted by us in writing (email or booking portal confirmation). Many travel suppliers require deposits or full payment immediately; we pass those requirements to you at booking.

Accepted payment methods

  • We accept major credit/debit cards and third-party processors (e.g., Stripe, PayPal), ACH where available, and other methods shown at checkout. All payments are processed in U.S. dollars.

Payment plans and auto-drafts

  • We may offer payment plans. If you choose a payment plan with auto-draft, you authorize us and our payment processor to charge your card or bank on the schedule you select until the booking balance is paid in full.
  • If you choose manual invoiced payments with email reminders, you remain responsible for timely payment. Unpaid balances may result in cancellation per our cancellation policy.
  • If a scheduled payment fails, we will notify you. We may retry charges and may apply late fees. Repeated failed payments may result in reservation cancellation.

Price changes and errors

  • We reserve the right to correct pricing errors. If a price was listed in error, we will notify you and give you options (confirm at corrected price or cancel with refund of amounts actually received, if any, subject to vendor rules).

5. Cancellation, refunds, transfers (Travel Refund Policy — detailed)

Important — plain language: most travel payments we collect are used immediately to pay vendors and are therefore non-refundable. Please read the rules below carefully.

Traveler cancellations

  • Generally non-refundable. If you cancel your booking, you will not receive a refund unless a specific exception applies (see below). You may be eligible for a transfer of your booking to another person if we approve the change and you pay any transfer or supplier fees. Approval is at our discretion and depends on supplier rules.
  • Credits. In some cases, and at our sole discretion, we may issue a credit toward a future trip in lieu of a refund. Credits may have an expiration date and may be subject to administrative fees.

Company cancellations

  • If we cancel the trip or Service for reasons within our control, we will offer you a full refund of amounts paid for the cancelled Service, or a credit toward a future trip, at your choice.
  • If we cancel because of an event outside our control (see Force Majeure), see the Force Majeure section below for options — you may receive a credit, partial refund, or other remedy depending on whether and how our suppliers refund us.

Vendor refunds

  • Many suppliers (hotels, carriers, local operators) have non-refundable rates. If a supplier provides a refund to us after you have paid, we will pass that refund to you less any non-recoverable transaction, administrative, or third-party fees. If the supplier does not refund us, we cannot refund you.

Failure to pay

  • If you fail to make required payments when due, we may cancel your booking and retain amounts paid as described in your booking confirmation and supplier contracts.

Chargebacks and disputes

  • If you dispute a charge with your card issuer before contacting us, it may make it harder or slower to resolve. Contact us first so we can try to resolve issues directly.

Refund timing

  • If a refund is due, we will process refunds as quickly as reasonably possible. Where refunds depend on third-party suppliers, processing may take longer (up to 90 days or more in some cases).

Travel insurance

  • We strongly encourage comprehensive travel insurance that covers trip cancellation, interruption, medical emergencies, baggage loss, and other risks. Insurance is the traveler’s responsibility.

6. Changes to bookings (by you or us)

Changes requested by you

  • Requests to change travel dates, names, rooms, or other booking details must be made in writing. Changes are subject to supplier availability and fees. Additional costs (supplier change fees, rate difference, admin fees) will be charged to you.

Changes by us

  • We may need to modify the itinerary, accommodations, suppliers, or services. If a change is minor, we will notify you and offer reasonable alternatives. If a major change occurs (e.g., significant reduction in services, different destination, or price increase above a stated threshold), you may be entitled to choose between accepting the change, receiving a credit, or receiving a refund for the affected portion — subject to supplier policies.

7. Force majeure; travel advisories; governmental action

We are not liable for delays, changes, or cancellations caused by events beyond our control, including but not limited to natural disasters, pandemics, strikes, war, terrorist acts, travel restrictions, government actions, supplier insolvency, or other unforeseeable events (“Force Majeure”). In Force Majeure events we will work to provide alternatives, credits, or refunds to the extent we can recover funds from suppliers. You remain responsible for paying any balance unless we cancel the booking.


8. Third-party suppliers & independent contractors

Many parts of a trip (hotels, transport, guides, activities) are provided by third-party suppliers not under our direct control. We act as an agent or organizer for certain services and as a reseller for others. We are not responsible for the acts, omissions, or failures of third-party suppliers beyond what we expressly agree in writing. Any refunds, schedules, or changes that depend on suppliers are governed by supplier terms.


9. Intellectual property

All content on our Services (text, images, logos, audio, video, designs, software) is owned by us or our licensors and is protected by law. You may view and download content for personal, non-commercial use only. Any other use requires our prior written permission.


10. User content, reviews, & community guidelines

When you post or upload content (comments, photos, reviews, forum posts), you agree that:

  • You have the right to post it and it does not violate anyone’s rights.
  • You grant us a non-exclusive, royalty-free, worldwide, transferable license to use, copy, publish, display, and otherwise use that content for the operation, promotion, and improvement of the Services.
  • You will not post illegal, offensive, hateful, or harassing content.

We may remove content that violates these rules or is otherwise inappropriate. We are not responsible for user content and do not endorse it.


11. Privacy; communications

Our Privacy Policy explains how we collect and use personal information. By using the Services you consent to electronic communications (email, SMS) and to our processing of your data as described in the Privacy Policy. If you access the Services from outside the U.S., your data may be transferred to and processed in the United States.


12. Advertisers & third-party links

We may display ads and link to third-party websites. We do not endorse or control those sites and are not responsible for their content or policies.


13. DMCA & copyright

If you believe content on our Services infringes your copyright, follow the DMCA notice procedure described in our full legal policies (contact info above). We respond to valid copyright notices.


14. Prohibited activities

You may not use the Services to harass, defraud, spam, impersonate, scrape content, reverse engineer our software, or otherwise abuse the Services. Violations may result in account suspension or other actions.


15. Disclaimers; limitation of liability

To the fullest extent allowed by law:

  • Our Services are provided “as-is.” We do not guarantee results or the behavior of third-party suppliers.
  • We are not liable for indirect, incidental, special, punitive, or consequential damages (including lost profits).
  • Our total liability to you for any claim arising from these Terms will not exceed the total amount you paid to us in the 12 months prior to the claim (or a lesser amount if required by law).

Some jurisdictions do not allow certain disclaimers or limits; in those cases, liability is limited to the maximum extent permitted by law.


16. Indemnity

You agree to indemnify and hold us harmless from claims, losses, liabilities, damages, and expenses arising from your use of the Services, your breach of these Terms, or your violation of any law.


17. Governing law; dispute resolution

These Terms are governed by the laws of the State of Georgia, USA, without regard to conflict of law rules.

Dispute process: We encourage you to contact us first at info@travelingblackwomen.com so we can try to resolve disputes directly. If we cannot resolve a disagreement, the dispute will be resolved as detailed in the booking contract you sign. Where arbitration or a specific dispute process is used, it will be set out in your booking documents. Nothing in these Terms limits your right to pursue relief in small claims court where applicable.


18. California and other state rights

If you are a California resident, you may have additional rights under state law. See our Privacy Policy and contact info above for details.


19. Changes to these Terms

We may update these Terms from time to time. When we do, we will post the update with an updated “Last updated” date. Continued use of the Services after a posted change constitutes acceptance of the updated Terms.


20. Entire agreement; severability

These Terms, together with any booking confirmations and our Privacy Policy, form the entire agreement between you and us regarding the Services. If a court finds any part invalid, the rest remains in effect.


21. Plain-language refund summary (for invoices & confirmations)

  • Most travel payments are non-refundable. We use your payment to hold rooms, transport, and activities with suppliers. Those suppliers often do not refund us.
  • If we cancel, you get a refund or credit.
  • If a supplier later refunds us, we’ll pass that refund to you (less any unrecoverable fees).
  • Buy travel insurance. It protects you for cancellation, medical emergencies, and other risks.
